Office & Compliance Support

Job Purpose

The Office and Compliance Support position responsibilities are to ensure a smooth functioning office by answering phones, greeting visitors and presenting a positive first impression, monitoring office supply level and ordering supplies when needed, managing incoming and outgoing mail, coordinate overnight packages, supporting needs of Managers. Additionally, to support the Operations team by responding to all external surveys and census reporting needs such as BLS, Multi-Worksite reporting, NY PFL reports and assisting in Annual Surveys of employee and economic data.

 Duties & Responsibilities

Office Duties: Answer phones, greet and coordinate visitors, and distribution of phone calls. Develop a contact list of all phone calls for better management of calls. Develop and monitor office supply levels to ensure a smooth-running office such as copier supplies, coffee, cups, paper, pens, pencils, and any other general office supply. Support all members of staff.

Reporting Duties: Coordinate and report to Federal, State and Local Census reporting of employee and economic data as needed. Assist in building reports for clients and external agencies and making payments to external reporting agencies as needed. Assist in quarterly and annual tax reporting as needed.

Skill/Experience Requirements

  • 5+ years of experience working in an office setting with increasing office coordinating people.
  • Very Strong computer skills and proficiency with Microsoft Office (Excel, Word, and Outlook). 
  • Additional knowledge of PrismHR system and reporting abilities preferred.
  • Strong organizational and time management skills. Excellent communication and customer service skills.
